Every item on these checklists exists because skipping it has caused a real problem — a breakdown, an injury, an angry client. Complete each one fully, every day. No shortcuts.
Why Checklists Matter
Equipment failures, safety incidents, and client complaints trace back to skipped steps. A two-minute walkaround catches the flat tire before it strands you on a highway. A fuel check prevents the mid-route shutdown. These are not busywork — they are the minimum standard for a professional crew.
Checklists
Vehicle Pre-Trip Inspection
- Walk around vehicle and check for body damage, flat tires, or fluid leaks
- Check tire pressure and tread depth on truck and trailer
- Verify all lights are functional: headlights, brake lights, turn signals, hazards
- Test trailer connection: hitch pin, safety chains crossed under tongue, electrical plug secure
- Check mirrors for proper adjustment and cleanliness
- Verify brake function — pump brakes before leaving the yard
- Confirm fuel level is adequate for the day's route
- Check oil, coolant, and windshield washer fluid levels
- Ensure registration, insurance card, and DOT documentation are in the cab
- Verify fire extinguisher is charged and accessible
- Test horn and windshield wipers
- Confirm GPS or route directions are loaded for the day
Equipment Loading Checklist
- Verify all assigned equipment is loaded per the daily work order
- Secure mowers to trailer with ratchet straps — minimum two per mower
- Ensure trimmer rack is latched and all trimmers/edgers are secured
- Confirm blower tubes are attached or stored and secured
- Load fuel cans upright in ventilated area — check caps for tight seal
- Verify oil mix, trimmer line, and spare parts are stocked
- Confirm chemical sprayers are labeled, sealed, and secured upright
- Load Safety Data Sheets (SDS) binder for all chemicals on the truck
- Ensure hand tools (rakes, shovels, brooms) are secured and accounted for
- Verify safety equipment: first aid kit, eye wash, hearing protection, safety glasses
- Check trailer gate pins and safety latches before departure
- Perform final walk-around to confirm nothing is hanging off or unsecured
Client Property Walkthrough (Arrival)
- Park in a safe location that does not block driveways, mailboxes, or sidewalks
- Set out safety cones if working near roadways or high-traffic areas
- Walk the entire property before starting any equipment
- Identify and flag sprinkler heads, landscape lighting, pet waste, and obstacles
- Note any pre-existing property damage (cracked sidewalks, damaged fencing, etc.)
- Check for children's toys, garden hoses, pet items, and other debris in the work area
- Verify gate access and re-secure gates when entering fenced areas
- Identify utility markers or flags — do not disturb
- Confirm scope of work matches the service agreement for this property
- Note any special client instructions or preferences from the work order
Morning Crew Start-Up
- Review daily work assignments, route order, and crew responsibilities
- Check weather forecast — note heat index, wind speed, and precipitation probability
- Conduct brief safety huddle: discuss hazards for today's job sites
- Distribute personal protective equipment and verify it is in good condition
- Test all communication devices (phones, radios) and confirm emergency contacts
- Verify cooler is stocked with water and ice for the crew
- Confirm first aid kit is stocked and accessible
- Review any client-specific notes or special instructions for the day
- Check that timesheets from the previous day are submitted
- Depart on schedule per the daily route plan
Job Site Departure Checklist
- Blow all clippings off sidewalks, driveways, patios, and street curbs
- Inspect property for any damage caused during service
- Collect all debris, trimmer line scraps, and trash from the work area
- Re-secure gates and close any doors that were opened for access
- Remove safety cones and flags from roadways
- Load and secure all equipment back on the trailer
- Take a photo of the completed property for documentation
- Update job status in the scheduling system or daily work log
- Leave a door hanger or service note if required by the client agreement
End-of-Day Wrap-Up
- Return to the shop or yard and park in the designated area
- Unload and clean all equipment — remove grass buildup from mower decks
- Sharpen or replace mower blades as needed
- Refuel all equipment and vehicles for the next workday
- Inspect all equipment for damage or wear — tag items needing repair
- Restock trimmer line, fuel mix, and consumable supplies
- Store chemicals properly in the designated locked storage area
- Complete and submit daily timesheet with accurate hours
- File any incident reports, property damage reports, or client notes
- Review tomorrow's work orders and route to prepare for the next day
